I. POSITION OVERVIEW
As a Case Manager / Assistant at Big Tex Injury Lawyers, you will be the first point of contact for many of our clients and will own specific, assigned cases and cases managed as a team from intake through final disbursement. Under the supervision of our administrative staff and attorneys, you will open new matters, initiate and investigate first-party (UM/UIM, PIP) and third-party claims, get clients into treatment and manage that treatment to completion, collect medical bills, records, and supporting affidavits, draft demand packages, and close out claims. Keeping clients informed, valued, and supported throughout the legal process is critical to this role. We are looking for a highly-skilled, self-directed individual with excellent phone etiquette and a strong drive to achieve results to join our high-performing team.
II. KEY RESPONSIBILITIES
a) Intake & Case Opening:
Handle calls from injured potential clients, analyze their situations, and obtain documents and the signed retainer
Open and maintain case files in Filevine; ensure all activity (calls, emails, texts, tasks) is thoroughly documented
Calendar and monitor deadlines (statutes of limitation, treatment progress, insurance responses, demand deadlines, etc.)
b) Claims Initiation & Investigation:
Open first-party and third-party claims; send letters of representation; obtain claim numbers, policy limits, and adjuster contacts
Send preservation letters, and request crash reports, 911 recordings, body and dash camera footage, and other public records
Locate witnesses and obtain photographs, video, and other evidence; track property damage and liability determinations
c) Medical Treatment & Client Care:
Get clients into treatment promptly following intake, handle medical referrals, and send appointment reminders
Monitor treatment through completion, follow up on gaps in care, and communicate with providers regarding treatment status, balances, and letters of protection
Communicate regularly with clients to provide status updates and ensure a high level of client satisfaction
d) Medical Bills, Records & Affidavits:
Request, collect, and review medical bills and records, and obtain affidavits under Section 18.001 of the Texas Civil Practice and Remedies Code and business-records affidavits
e) Demands, Negotiation & Closing:
Draft demand packages for attorney review, and negotiate insurer offers within the authority given by the supervising attorney and client
Prepare and track releases and closing documents, resolve liens and subrogation interests, and negotiate reductions of medical balances
Prepare settlement statements and client disbursement checks for attorney approval, and close out claims once funds are disbursed
Coordinate with litigation staff on cases that do not resolve pre-suit, including the timely transfer of files, evidence, and claim information
f) Collaboration & Administration:
Work closely with attorneys, attend team meetings, and provide weekly status reports on assigned tasks
Manage Firm communications to include emails, faxes, and mail; calendar deadlines from communications received; and scan and file case documentation into the Firm's system
Maintain strict client confidentiality and a professional office environment, and provide clerical assistance to co-workers
Assist with general office upkeep, including keeping the kitchen, supply room, and common areas stocked, clean, and organized, and reordering office supplies as needed
Other tasks related to the operation of the firm, as assigned, from time to time
All tasks related to the progression and development of claims and cases
III. REQUIRED QUALIFICATIONS
Bilingual (Spanish/English); fluent in reading, writing, and speaking both languages
Proficiency with Filevine (or similar case-management software) and MS Office
Preparedness to learn and implement what is taught
Excellent written and verbal communication skills and phone etiquette; personable and professional with clients, providers, and insurers
Highly organized, detail-oriented, able to manage multiple files simultaneously, and prepared to work as part of a team
