Delgado Law Firm is a growing law firm specializing in immigration and personal injury law. We are seeking an experienced, professional, and career-minded Receptionist/Client Relations Specialist to serve as a primary point of contact for our clients and an important member of our administrative team.

This is a highly client-facing position for an individual who understands the importance of exceptional customer service, professional communication, and building strong client relationships. We are seeking a dependable and personable professional who takes pride in ensuring clients feel welcomed, valued, and well cared for and who is looking for a stable, long-term position with our firm.

CRITICAL POSITION REQUIREMENT: We are seeking a career-minded administrative and client service professional who is genuinely interested in growing within this role long term. This is not an entry point into our legal department or a transitional position for someone seeking experience before becoming a legal assistant, paralegal, or attorney.

To be considered, you MUST be seeking a permanent career position focused on high-level client relations, customer service, administration, and office coordination.

Candidates whose primary career goal is to transition into a legal assistant, paralegal, law school, or other legal-department position are not a fit for this opening.

We are looking for someone who takes pride in being the first point of contact for our clients, enjoys administrative responsibility and client interaction, and wants to develop professionally and grow within the receptionist/customer service and office administration role.

MUST-HAVE QUALIFICATIONS:

Experience: Minimum of 2 years of prior experience working in a law firm specifically in a receptionist, front-office, client relations, and/or customer service position. General legal experience as a legal assistant, paralegal, intern, or law clerk does not satisfy this requirement unless the candidate also has the required receptionist and client-facing customer service experience.

Spanish Fluency: Professional fluency in Spanish (speaking, reading, and writing) is required. The initial screening call and subsequent interviews will be conducted entirely in Spanish to assess fluency and professional communication skills.

Career Focus: We are seeking a career-minded professional interested in stable, long-term employment in client relations, customer service, administration, and office coordination. This position is not intended as a pathway to a legal assistant, paralegal, or attorney position.

Client Relations: This is a highly client-facing position. The ideal candidate genuinely enjoys working with people and understands the importance of providing an excellent client experience. This individual will play an important role in ensuring that clients feel welcomed, respected, informed, and well cared for throughout their relationship with our firm. Our goal is not simply to provide good service, but to build strong client relationships that lead to client satisfaction, positive reviews, repeat business, and referrals to our office.

RESPONSIBILITIES:

  • Serve as a primary point of contact for clients and help create a positive and professional client experience
  • Answer incoming telephone calls, take and return messages, and respond to general client questions
  • Regularly communicate with clients to ensure they feel supported and satisfied with the service provided by the firm
  • Identify client concerns and help resolve customer service issues before they become larger problems
  • Help strengthen client relationships and encourage positive reviews, repeat business, and referrals
  • Schedule consultations and appointments and maintain the attorney’s calendar
  • Take and accurately record client payments
  • Handle incoming and outgoing mail
  • Perform clerical duties, including photocopying, scanning, filing, and maintaining electronic and physical files
  • Perform data entry and maintain accurate office and client records
  • Manage office supply inventory and place orders as necessary
  • Assist with organizing meetings, including preparing agendas and taking meeting notes
  • Draft routine letters and correspondence under attorney supervision
  • Assist with general office coordination and administrative needs
  • Perform additional administrative and customer service duties as assigned
