We are seeking an experienced, organized, and personable Office Manager & Receptionist to join our team. This individual will play an essential role in managing daily office operations, creating a positive first impression for our clients, and supporting our attorneys and staff.

The ideal candidate is proactive, detail-oriented, dependable, and comfortable managing multiple priorities in a fast-paced professional environment. We are looking for someone who takes initiative, anticipates the needs of others, and enjoys being an integral part of a collaborative team.

Key Responsibilities

Front Desk & Client Experience

  • Serve as the first point of contact for clients, visitors, and business partners, providing a welcoming and professional experience.
  • Answer, screen, and direct incoming calls efficiently and courteously.
  • Manage incoming inquiries and ensure messages are accurately communicated to the appropriate team members.
  • Schedule and coordinate appointments, meetings, and other office activities.
  • Coordinate document exchanges with clients, lenders, real estate professionals, and other business partners.
  • Maintain a professional, organized, and welcoming reception area.

Office Administration & Daily Operations

  • Oversee daily administrative activities to ensure efficient office operations.
  • Order, organize, and maintain office supplies and inventory.
  • Coordinate the maintenance and servicing of office equipment, including printers, copiers, computers, and phones.
  • Identify operational needs, anticipate potential issues, and proactively assist with solutions.
  • Maintain an organized and professional office environment, including shared spaces and meeting rooms.
  • Provide general administrative support to attorneys and staff as needed.

Administrative & Financial Support

  • Receive, process, and accurately record client payments in accordance with established firm procedures.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Assist with document preparation, scanning, filing, and other administrative tasks.
  • Maintain accurate records and follow established office procedures.
  • Handle confidential client information and sensitive financial documents with discretion.

Team Support & Office Coordination

  • Coordinate employee recognition initiatives, including birthdays, work anniversaries, and other celebrations.
  • Organize lunch orders and refreshments for meetings, office events, and special occasions.
  • Assist with planning and coordinating internal office activities.
  • Communicate effectively with attorneys, paralegals, and administrative staff to ensure office needs are met.
  • Contribute to a positive, collaborative, and service-oriented workplace culture.

Qualifications

Required Skills & Attributes

  • Strong organizational skills with exceptional attention to detail.

  • Ability to multitask, prioritize responsibilities, and remain composed in a busy office environment.
  • Proficiency with standard office software, including email, calendars, word processing, and spreadsheets.

Preferred Qualifications

  • Previous experience in office administration, office coordination, reception, or a similar administrative support role.
  • Experience working in a law firm or other professional services environment.
  • Familiarity with Google Workspace and general office technology.
  • Experience handling client payments and coordinating administrative processes.
