Legal Intake Specialist

Job Summary
We are seeking a proactive and detail-oriented Legal Intake Specialist to join our dynamic legal team. In this vital role, you will serve as the first point of contact for prospective clients, efficiently gathering essential case information and assessing initial eligibility across a broad spectrum of legal areas. Duties

• Conduct professional and courteous interviews with potential clients via phone or online to collect detailed case information and understand their legal needs.
• Screen incoming inquiries to determine case eligibility based on established criteria across multiple legal disciplines.
• Utilize legal case management systems such as PCLaw, iManage, Westlaw, LexisNexis, and document management systems to organize and record client data accurately.
• Assist in reviewing legal documents and conducting research using Westlaw and LexisNexis to support initial case assessments.
• Coordinate with attorneys and paralegals to facilitate smooth handoffs of qualified cases for further review and action.
• Maintain meticulous records of all client interactions, ensuring confidentiality and compliance with privacy standards.
• Support administrative functions including data entry, filing, proofreading, transcription, and document review to uphold high-quality legal documentation standards.
• Demonstrate excellent phone etiquette and organizational skills to manage multiple inquiries efficiently while providing outstanding client service. Qualifications
• Prior experience in a law office or legal administrative environment is highly preferred.
• Strong knowledge of various legal practice areas such as estate planning, environmental law, immigration law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, UCC law (Uniform Commercial Code), and litigation processes.
• Proficiency with legal research tools including Westlaw and LexisNexis; familiarity with case management software like PCLaw and iManage is advantageous.
• Excellent interviewing skills with the ability to gather detailed information clearly and efficiently.
• Demonstrated project management capabilities to handle multiple cases simultaneously while maintaining accuracy.
• Exceptional proofreading, writing skills, and attention to detail for legal drafting and document review tasks.
• Strong organizational skills with experience in data entry, filing systems, document management systems, and clerical tasks.
• Ability to work independently with minimal supervision while collaborating effectively within a team environment.
• High level of professionalism combined with strong phone etiquette and interpersonal skills to foster positive client interactions.
