Jones Williams Fuhrman Gourley, P.A. is seeking a detail-oriented, well-organized Legal Assistant to support a busy and well-established estate planning, probate, trusts and estates administration, and business practice. This is a full-time, in-office position ideal for an experienced legal assistant who is comfortable working in a fast-paced environment and providing professional, responsive service to clients.

The successful candidate will provide comprehensive support to attorneys while also working directly with clients. Strong attention to detail, excellent organizational and communication skills, discretion, and the ability to manage multiple deadlines are essential.

Position Summary

The Legal Assistant is primarily responsible for supporting assigned attorneys in all areas of estate planning, probate, trusts and estates administration, and business law. The position requires a combination of legal document preparation, client communication, file management, calendaring, court filing, and general administrative support.

The Legal Assistant will work closely with attorneys and clients to ensure matters are organized, deadlines are met, documents are accurate, and clients receive timely and professional assistance.

Essential Responsibilities:

Estate Planning and Legal Document Preparation

  • Prepare initial drafts of wills, trusts, powers of attorney, and other estate planning documents.
  • Prepare and assist with drafting probate pleadings and other legal documents.
  • Type, format, proofread, review, and edit documents for accuracy, completeness, and presentation.
  • Review documents carefully for errors and inconsistencies before submitting them to attorneys or clients.
  • Prepare documents for client review, execution, and signing.
  • Meet with clients to facilitate the signing of estate planning documents and probate pleadings.
  • Answer routine client questions and communicate with clients as directed by attorneys.

Probate and Court Support

  • Prepare and file probate pleadings with the appropriate court.
  • Schedule probate hearings and maintain accurate court calendars and deadlines.
  • Monitor file reminders and upcoming deadlines to ensure timely completion of tasks.
  • Coordinate with courts, court personnel, opposing counsel, and other parties as directed by attorneys.
  • Prepare files and documents for hearings, appointments, and other scheduled matters.
  • Record deeds and assist with other transactional and post-closing matters as needed.

Client and File Management

  • Maintain organized and accurate electronic and physical client files.
  • Save and organize client emails and correspondence in the appropriate files.
  • Ensure documents are properly saved, copied, and readily accessible.
  • Schedule client appointments and coordinate meetings and other events.
  • Maintain professional, timely, and courteous communication with clients.
  • Safeguard client confidentiality and protect clients’ personal, financial, and other sensitive information.
  • Exercise discretion and sound judgment when handling confidential client matters.

General Legal and Administrative Support

  • Accurately calendar appointments, court deadlines, meetings, depositions, and other events.
  • Prepare correspondence and perform occasional transcription of dictation and/or recordings.
  • Coordinate meetings and depositions, including securing court reporters and handling related details.
  • Prepare mailings and overnight deliveries for supervising attorneys.
  • Assist other Legal Assistants as needed.
  • Manage additional projects and perform other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent.
  • At least two years of legal assistant experience or equivalent relevant experience.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and client-service skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to prioritize and manage multiple tasks and deadlines.
  • Ability to work independently in a fast-paced environment.
  • Ability to work effectively as part of a team.
  • Ability to maintain strict confidentiality and protect sensitive client information.

Preferred Experience

Experience in one or more of the following areas is preferred:

  • Estate planning
  • Wills and trusts
  • Probate and estate administration
  • Powers of attorney
  • Probate court filings
  • Deed preparation and recording
  • Business or transactional law
  • Legal document drafting and preparation
  • Client-facing legal support
