Schedule: Monday–Friday, 8:30 a.m.–5:30 p.m., with work from home on Wednesdays
Salary: $80,000–$100,000 annually, depending on experience

Position Overview

Custodio & Dubey LLP is seeking an experienced Law Office Manager / HR Manager to oversee daily operations, supervise our on-site and remote teams, and manage hiring, HR, and payroll for both.

We’re looking for a proactive, ambitious professional ready to take ownership, establish clear expectations, and hold employees accountable. This person must be comfortable enforcing firm policies, addressing performance concerns directly, and following through with documentation, coaching, and corrective action.

Reporting directly to the partners, you will work closely with attorneys and department leaders to improve communication, staffing, workflows, and operational performance.

Prior law firm experience and at least two years of hands-on payroll processing experience are required. Personal injury experience is preferred. Spanish is a plus.

Responsibilities: Team Leadership & Accountability

  • Supervise on-site and remote administrative and support staff.
  • Manage schedules, attendance, coverage, workloads, and task completion.
  • Enforce firm policies and expectations consistently across both teams.
  • Work with department leaders to establish measurable performance expectations.
  • Address attendance, productivity, conduct, and performance concerns promptly.
  • Document employee concerns and coordinate coaching, performance improvement plans, and corrective action with leadership.
  • Report staffing needs, performance concerns, and operational issues directly to the partners.

Human Resources & Recruiting

  • Manage recruiting, candidate screening, interview coordination, offers, onboarding, and offboarding.
  • Source attorneys, including senior associates, and support staff through direct recruiting strategies.
  • Maintain employee and contractor records, HR documentation, and internal policies.
  • Coordinate performance reviews, employee concerns, and time-off requests.
  • Support benefits administration and enrollment.
  • Handle confidential employee, client, and firm information with discretion.

Payroll & Timekeeping

  • Run accurate, timely payroll for both on-site and remote teams using ADP and other applicable systems.
  • Review time records, attendance, overtime, paid time off, and payroll adjustments before submission.
  • Verify pay rates, employee changes, and contractor payment information.
  • Resolve payroll discrepancies and respond to employee payroll questions.
  • Maintain organized payroll records and provide staffing-cost reports to leadership.

Office Operations & Vendor Management

  • Oversee daily office operations, supplies, equipment, building services, and administrative needs.
  • Manage vendors, service providers, freelancers, and contractors.
  • Coordinate with IT support to address equipment and system issues.
  • Review invoices, subscriptions, service agreements, and recurring expenses.
  • Coordinate payments, resolve billing discrepancies, and monitor service quality.
  • Support budgeting and expense tracking.

Process Improvement & Reporting

  • Establish clear procedures for HR, payroll, staff supervision, and office operations.
  • Identify workflow bottlenecks and implement practical improvements.
  • Maintain operational trackers, departmental reports, and accountability systems.
  • Coordinate with department leaders to improve intake and case-support workflows.
  • Ensure on-site and remote teams communicate effectively and use firm systems consistently.

Required Qualifications

  • At least two years of law office management, HR management, or operations management experience within a law firm.
  • At least two years of hands-on payroll processing experience, including reviewing time records, making adjustments, and submitting payroll.
  • Experience directly supervising employees and enforcing workplace policies.
  • Experience managing attendance, employee performance, coaching, and corrective action.
  • Experience with recruiting, onboarding, employee records, and HR administration.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to manage competing priorities, have difficult conversations professionally, and follow through.
  • Sound judgment and discretion with confidential information.
  • Availability to work on-site Monday, Tuesday, Thursday, and Friday.
  • Spanish is a plus.

Preferred Qualifications

  • Experience in a personal injury or habitability law firm.
  • Experience overseeing a law firm with 20 or more employees.
  • Experience supervising both on-site and remote teams.
  • Experience recruiting attorneys, including senior associates.
  • Proficiency with ADP and Filevine.
  • Experience managing vendors, budgets, and operational reporting.

Systems & Technology

Candidates should be comfortable using and learning:

  • ADP and other payroll and timekeeping systems
  • Filevine
  • Slack
  • Microsoft Word and Excel
  • Reporting dashboards, spreadsheets, and operational trackers
  • Legal and office administrative software
