Law Firm Case Assistant / Records Clerk

Schwimer Weinstein LLP is a growing personal injury law firm in Venice Beach focused on providing strong, effective representation to people who have been injured through no fault of their own.

We believe excellent client service starts with an excellent team. Our attorneys, case managers, and case assistants work closely together to keep cases moving, maintain accurate files, and make sure our clients receive consistent attention throughout the life of their claims.

We are currently seeking a Pre-Litigation Case Assistant to join our in-office team. This is a hands-on position for someone who is organized, dependable, detail-oriented, and comfortable managing multiple cases and competing deadlines.

The Case Assistant will play an important role in the early stages of our personal injury cases, helping attorneys and legal assistants obtain the information and documentation necessary to evaluate and pursue each claim.

What You'll Do:

• Open new client files and accurately enter and maintain case information in our case management system, Clio.
• Prepare and send letters of representation, new-client correspondence, medical records requests, and other case-related communications.
• Open and maintain insurance claims and communicate with insurance carriers as needed.
• Request and follow up on police reports, medical records, medical bills, and other documentation.
• Track case costs and expenses and follow up to ensure invoices are processed in a timely manner.
• Organize medical records, billing information, insurance correspondence, vehicle repair estimates, injury photographs, property-damage documentation, wage-loss information, and other evidence in each client's digital file.
• Complete tasks and requests from attorneys, paralegals, and case managers.
• Follow up consistently on outstanding records, bills, correspondence, and other case items.
• Help ensure that case files remain accurate, organized, current, and ready for the next stage of the claim.
• Communicate professionally with clients, medical providers, insurance representatives, and other third parties.

What We're Looking For

The right candidate is someone who can take ownership of their work, stay organized across multiple cases, and consistently follow through on details.

Qualifications:

• 2+ years prior law firm experience required; personal injury experience strongly preferred.
• Associate degree or higher.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple assignments and deadlines in a fast-paced environment.
• Strong attention to detail and accuracy.
• Comfortable learning and using case management software, Microsoft Office, and other technology.
• Ability to work independently while also collaborating effectively with attorneys and other members of the legal team.
• Spanish fluency is preferred but not required.

Pay: $24.00 - $30.00 per hour
