As we continue to grow, we are seeking an experienced Intake Manager to lead and optimize our intake department, ensuring a seamless and highly efficient client acquisition process.

Job Summary:

We are looking for an experienced Intake Manager (4+ years required) to oversee and enhance our intake department. The ideal candidate will be highly organized, results-driven, and proficient in CRM systems, with a proven track record of increasing client retention, conversions, and satisfaction. This role requires a strategic thinker who can analyze data, improve workflows, and train intake staff to ensure a high percentage of potential clients are successfully retained and signed up.

** This role requires availability after hours and on weekends as needed, as our intake operations run beyond regular business hours. **

Key Responsibilities:

Intake Process Optimization & Management

• Oversee the intake team to ensure all potential client interactions are handled professionally and efficiently.
• Develop and refine intake scripts and processes to maximize conversion rates while ensuring high client satisfaction.
• Implement strategies to reduce drop-off rates and increase client sign-ups.
• Ensure all incoming inquiries are properly screened, qualified, and directed efficiently to attorneys and legal support staff.
• Maintain a fast response time to new leads, ensuring timely follow-ups to secure client retention.
• Be available after hours and on weekends as needed to manage urgent intake situations and support the team.

Case Screening & Legal Understanding

• Have a strong understanding of personal injury law and the ability to screen potential clients and cases to determine eligibility.
• Identify and prioritize high-value cases for further evaluation by attorneys.
• Ensure clients receive accurate information about the legal process and their potential claims.
• Work closely with attorneys to relay important case details and ensure seamless onboarding of new clients.

CRM Implementation & Performance Reporting

• Manage and optimize the firm's Client Relationship Management (CRM) software, ensuring seamless data entry and reporting.
• Track and analyze conversion metrics, lead sources, and team performance to improve efficiency.
• Generate and present performance reports to firm leadership, providing data-driven recommendations for improvement.
• Ensure proper documentation and organization of intake records for compliance and follow-up purposes.

Team Leadership & Training

• Train, mentor, and supervise intake staff to maintain high performance and professionalism.
• Conduct regular quality control assessments and coaching sessions to enhance team effectiveness.
• Develop onboarding and continuous training programs to ensure intake specialists stay up to date with best practices.

Client Experience & Satisfaction

• Ensure a positive client experience by maintaining compassionate and professional communication throughout the intake process.
• Address and resolve client concerns or questions during the intake phase.
• Implement strategies to improve the client journey from the first point of contact to case sign-up.

Qualifications & Requirements

• 4+ years of experience in an intake management role, preferably in a personal injury law firm or similar high-volume legal environment.
• Strong understanding of personal injury law and ability to screen potential clients and cases effectively.
• Proficiency in CRM systems and performance tracking tools.
• Strong leadership and training abilities with experience managing an intake team.
• Excellent communication, negotiation, and customer service skills.
• Data-driven mindset, able to track and improve performance based on key intake metrics.
• Ability to work in a fast-paced, high-volume environment while maintaining quality service.
• Must be available after hours and weekends as needed.
• Travel to do an In person intake if needed.
• Bilingual (English/Spanish) is a must.

Job Type: Full-time
