
The Case Manager will be responsible for managing a portfolio of cases, coordinating with attorneys and clients, and ensuring that all case-related activities are handled efficiently and effectively. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
โ Serve as the client’s primary point of contact.
โ Maintain regular communication with clients, providing updates every 30 days and setting realistic expectations of the case timeline.
โ Use the case management system properly and efficiently.
โ Gather and verify key client details.
โ Collect details on the client’s personal and health insurance, including Medicare or Medicaid, and explain the relevance of this information for their case.
โ Verify client injuries and medical treatment; assist in setting up additional treatment if needed.
โ Liaise with medical providers such as Tri-med and independent doctors to coordinate treatment plans.
โ Order and track medical records, bills, and other case-related documents.
โ Add relevant information to case management systems, update case statuses, and open appropriate checklist items.
โ Ensure all pertinent medical and billing records are ordered once liability is confirmed.
โ Manage case expenses, including attorney fees, treatment facility costs, and lost wages documentation.
โ Track reductions on bills and negotiate with providers for cost reductions on the client’s behalf.
โ Prepare and package demand letters, settlement brochures, and supporting documents for attorney review and submission to insurance companies.
โ Follow up with attorneys and insurance adjusters on the status of demands and settlement offers.
โ Manage the disbursement of settlement funds, ensuring legal obligations are met, including lien payments and reductions.
โ Coordinate the settlement disbursement process, including the drafting of disbursement sheets and liaising with clients on payment methods.
โ Ensure all necessary checks are prepared, distributed to clients and providers, and scanned for record-keeping.
โ Once file is ready to be closed, ensure that the file is sent to your supervisor to close out with all pertinent documents saved in the case management system.
Qualifications:
โ Strong organizational skills and attention to detail.
โ Excellent communication and client service skills.
โ Ability to manage multiple cases simultaneously and meet deadlines.
โ Familiarity with personal injury law, medical records management, and legal billing processes is preferred.
โ Proficiency in case management software is a plus.
โ Empathy and patience in dealing with clients who may be going through stressful or painful situations.
โ Proactive problem-solving skills and the ability to manage multiple tasks efficiently.
โ High level of professionalism and confidentiality when handling sensitive client information.
