Position Overview

We are seeking an experienced, compassionate, and highly organized Case Manager who takes ownership of their caseload, communicates effectively with clients, and consistently meets critical deadlines.

This position requires someone who can independently manage a high-volume caseload while maintaining accurate documentation and providing clients with consistent communication throughout the disability process.

Because Social Security Disability cases involve strict filing and appeal deadlines, attention to deadlines and follow-through are essential requirements of this position.

Key Responsibilities

  • Manage Social Security Disability cases from initial application to final resolution.
  • Monitor all appeal deadlines, statutes, hearing-related deadlines, and assigned tasks.
  • Ensure applications, appeals, forms, and supporting documentation are completed accurately and submitted on time.
  • Communicate regularly with the Social Security Administration regarding case status and outstanding requirements.
  • Maintain regular communication with clients and provide timely, professional case updates.
  • Respond to client calls, emails, and concerns within established firm timeframes.
  • Obtain updated information regarding clients' medical treatment, providers, medications, diagnoses, employment, and other case-related changes.
  • Coordinate with the Medical Records Specialist regarding medical evidence needed to develop claims.
  • Maintain accurate and complete case notes, communications, documents, and tasks in Clio.
  • Review assigned tasks and caseload regularly to prevent overdue matters.
  • Prepare cases for attorney review and hearing preparation within established internal deadlines.
  • Immediately escalate urgent issues, missed or approaching deadlines, and other matters requiring attorney attention.
  • Coordinate communication between clients, attorneys, SSA, medical providers, and other parties as necessary.
  • Assist with administrative and office responsibilities as needed.

Performance Expectations

Successful Case Managers are expected to demonstrate:

Deadline Management: Appeals, statutes, hearing deadlines, and assigned tasks must be completed on time. Missed appeal or filing deadlines are considered serious performance concerns.

Caseload Ownership: Regularly review your caseload, identify matters requiring action, and take appropriate steps without waiting for repeated reminders.

Client Communication: Maintain consistent communication with clients and respond professionally and compassionately to questions and concerns.

Clio Task Management: Keep tasks current and maintain minimal overdue work.

Documentation: Accurately document client communications, SSA contacts, case developments, filings, and follow-up activities in Clio.

Organization: Effectively manage multiple cases, priorities, and deadlines simultaneously.

Communication: Notify the appropriate attorney or supervisor promptly when an issue could affect a client's claim or a required deadline.

Qualifications

  • Minimum of 2 years of experience as a Case Manager, Paralegal, Legal Assistant, or similar legal/administrative professional.
  • Social Security Disability experience strongly preferred.
  • Bachelor's degree is a plus.
  • Strong customer service, communication, and active-listening skills.
  • Excellent organizational and time-management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize competing and time-sensitive deadlines.
  • Proficiency with Microsoft Office.
  • Experience with Clio or similar case-management software preferred.
  • Ability to work independently while remaining an effective member of a team.
  • Ability to handle sensitive client situations with empathy, patience, and professionalism.
  • Bilingual English/Spanish is a plus.

Compensation

  • Starting at $57,000+ per year, based on experience and qualifications.

  • Full-time, Monday through Friday.
