The Role

As a bilingual New Client Coordinator at Hale Law, you'll play a crucial role in the first impression we make on prospective clients by building their confidence in choosing the firm and guiding them through a smooth, empathetic onboarding process. Based in our Sarasota office, you'll serve as the first point of contact for potential clients by phone, email, and in person, assessing injury claims, responding with care and empathy, gathering the information we need, and converting leads into signed clients.

We're looking for a motivated, people-first communicator who is fluent in both Spanish and English, with strong customer service and sales instincts, sharp attention to detail, and the discretion to handle sensitive information confidentially. Prior experience at a personal injury firm isn't required — we value a willingness to learn and a genuine desire to help. You should be comfortable with Microsoft Office 365, PDFs, and cloud-based tools, and quick to pick up new applications.

Key Responsibilities

• Serve as the first point of contact for potential clients by phone, email, and in person, providing information about the firm's services and answering preliminary questions
• Screen and assess injury claims, respond empathetically, manage follow-up, and secure signed client agreements
• Gather client information through structured intake forms and interviews, and enter it accurately and completely into the firm's database
• Schedule client appointments and follow-up meetings, coordinating across departments for seamless service
• Maintain accurate, confidential client records and documentation in compliance with legal and regulatory requirements
• Deliver excellent customer service with a professional, empathetic demeanor, resolving client concerns promptly
• Track progress toward goals and conversion rates, provide reporting to other departments including marketing, and support general administrative tasks as needed

Qualifications

• Fluency in Spanish and English (both required)
• At least one year of customer service experience and one year of sales experience required
• Excellent verbal and written communication skills, with sales ability and a warm, empathetic approach
• Strong attention to detail and the ability to handle sensitive information with confidentiality
• Comfortable with Microsoft Office 365, PDFs, and cloud computing, with the ability to learn new applications quickly
• A thirst for learning and a genuine desire to help others; prior personal injury firm experience is a plus but not required

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
