Spanish and English speaking intake specialist/receptionist

We are seeking a dedicated and detail-oriented Intake Specialist to join our Intake team. In this vital role, you will serve as the first point of contact for clients, ensuring smooth and efficient intake processes. When not assisting clients, you will be working with the legal personnel as a legal assistant. Assisting them with basic tasks will be balanced with your own follow ups and responsibilities.

Responsibilities

• Greet clients and visitors establishing a welcoming environment for all individuals entering or calling the office.
• Collect and verify client information accurately using client management software
• Schedule appointments, follow-up visits, and coordinate with the legal team to ensure efficient calendar management
• Manage phone communication efficiently, addressing inquiries, providing information, and directing calls appropriately
• Maintain strict confidentiality of client records in accordance with legal privacy regulations and policies
• Support legal staff by preparing documentation, updating records , and handling administrative tasks

Experience

• Prior experience working in an office or in customer service preferred
• Proficiency in Microsoft Office applications such as Word and Excel for documentation and record keeping
• Familiarity with legal terminology and record keeping systems preffered
• Strong customer service skills with the ability to communicate clearly and empathetically with clients and team members
• Experience supporting administrative functions including appointment scheduling, intake processing, and data entry
• Ability to type accurately and efficiently while managing multiple tasks in a fast-paced environment
• Sales experience and familiarity with performance based bonus structures

Pay: From $42,000.00 per year
